This policy describes how we collect, use, store, and share information when you use our platform — including our website, open house software, digital business card tools, offer management features, and SMS/MMS communications.

Definitions
- Company — Virtual Business Cards LLC, operating as RLTRsync.
- Personal Data — Any information that identifies or could reasonably identify a person.
- Service — The RLTRsync website, platform, and any SMS/MMS communications we provide.
- Agent — A paying or trial user of RLTRsync (real estate agent, broker, or team).
- Open House Visitor — A member of the public who signs in at an open house run using our platform.
- Buyer Agent — A licensed real estate agent who submits an offer through an agent's RLTRsync offer intake link.
- You — The individual accessing or using the service, whether as an Agent, Open House Visitor, or Buyer Agent.
What We Collect
Information Agents Provide
- Name, email address, phone number, and mailing address
- Professional information: brokerage, license number, social media accounts, headshots, and listing data
- Account credentials
Open House Visitor Data
When a member of the public signs in at an open house using RLTRsync's Entry Point Pro, the hosting agent collects visitor information through our platform. This may include:
- Name, email address, and phone number
- Electronic signature on required disclosure documents (e.g., NYS Agency Disclosure, Fair Housing Notice)
- Date, time, and property address of the sign-in event
This data is collected on behalf of the agent and is subject to their use. We process it as a service provider to the agent, not as an independent data controller.
Offer Submission Data
When a buyer's agent submits an offer through an RLTRsync offer intake link created by a listing agent, we collect information on behalf of the listing agent. This may include:
- Buyer agent name, license number, brokerage, email, and phone number
- Offer terms: purchase price, financing type, contingencies, closing dates, and any additional conditions
- Uploaded financial documents: proof of funds letters, mortgage pre-approval letters, and lender information
- Additional attachments: addenda, rider documents, and supporting materials
- Date, time, and IP address of submission
Offer submission data is collected on behalf of the listing agent. Buyer agents who submit offers are third parties who may not be RLTRsync account holders. We process this data as a service provider to the listing agent. Buyer agents should be aware that their submission data — including any uploaded financial documents — is shared with and accessible to the listing agent and their brokerage.
SMS/MMS Data
- Phone numbers involved in the communication
- Message content, date, and timestamp
Payment Data
All payments are processed by Stripe. We never store your card number or any financial account information. Stripe's privacy policy is available at stripe.com/privacy.
Usage & Technical Data
Collected automatically when you use our service, including IP address, browser type, device identifiers, pages visited, and other diagnostic data.
Cookies & Tracking Technologies
We use cookies and similar tracking tools, including:
- Facebook Pixel — to measure ad performance and retargeting
- Google Analytics — to understand how users interact with our site
- Session and authentication cookies required for platform functionality
You can control cookies through your browser settings. Opting out of analytics cookies will not affect your ability to use our service.
How We Use Your Data
- To create and manage your account and provide access to the platform
- To operate features including open house sign-ins, digital business cards, and offer management
- To display, organize, and enable comparison of submitted offers for listing agents
- To send automated status notifications to buyer agents regarding their submissions (e.g., offer received, under review, accepted, declined)
- To send SMS/MMS messages where you have opted in, and to deliver automated follow-up communications on behalf of agents
- To process payments through Stripe
- To sync lead data to third-party CRM tools at the agent's direction
- To send service updates, security notices, and support responses
- To analyze usage and improve the platform
- To meet legal and compliance obligations, including storing signed disclosure documents and offer records
Third-Party Integrations & Service Providers
We share data with third parties only as necessary to operate the service. These include:
- Twilio — SMS/MMS delivery and phone number management
- Stripe — Payment processing
- Follow Up Boss, kvCore, HubSpot — CRM sync, at the agent's direction
- Zapier — Workflow automation between our platform and third-party tools chosen by the agent
- Facebook / Meta — Pixel-based ad measurement and retargeting
- Google — Analytics and ad measurement
Offer submission data — including financial documents — is never shared with CRM integrations or third-party tools without explicit action by the listing agent. Each provider operates under their own privacy policies and data processing agreements.
Data Retention
- Agent account data — Retained for the life of the account, plus a reasonable period afterward for legal and business purposes.
- Open house visitor data & signed disclosures — Retained as required by applicable real estate record-keeping regulations, and for as long as the hosting agent's account remains active.
- Offer submission data & financial documents — Retained for the duration of the listing agent's account and for a minimum period consistent with real estate transaction record-keeping requirements in the applicable jurisdiction (typically 3–5 years). Financial documents such as proof of funds letters are stored only as long as necessary for the transaction review period.
- SMS/MMS records — Retained for a minimum period required by applicable law, then deleted or anonymized.
- Payment records — Retained as required by tax and financial regulations.
You may request deletion of your personal data at any time by contacting us. We will fulfill deletion requests subject to any legal obligations that require us to retain certain records.
Data Transfer
Your data may be stored and processed on servers located in the United States. If you access our service from outside the US, your data will be transferred to and processed in the US. We take appropriate steps to ensure it is handled securely and in accordance with this policy.
SMS/MMS Opt-Out
If you have opted into SMS/MMS communications, you may opt out at any time by replying STOP to any message we send, or by contacting us directly. Opt-out requests are processed promptly. Standard message and data rates may apply.

Security
We implement commercially reasonable technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction. Financial documents submitted through offer management are stored encrypted and accessible only to the listing agent and authorized platform administrators. In the event of a data breach that affects your personal data, we will notify you as required by applicable law.
Children's Privacy
Our service is not directed at anyone under the age of 13. We do not knowingly collect personal data from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it promptly.
Changes to This Policy
We may update this policy from time to time. When we do, we'll post the revised version here with an updated date. For material changes, we may also notify you by email. We encourage you to review this policy periodically.
